The Regional Administrative Coordinator provides administrative support Associate Director of Foster Care, works closely with the HR Business Partner for the Belleville region which includes oversight and travel to the Sparta satellite office. This position is the first point-of-contact for HR and IT in both offices while providing internal and external customer service. This position reports to the Associate Director of Foster Care.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

* Trains and supervises Foster Care Administrative Liaisons. * Ensures that all new case workers, Intact and Placement, are registered for training. * Ensures all new case workers, Intact and Placement, have DCFS and CFS computer access. * Ensures that all new case workers, Intact and Placement, have per-diem and hotel reservation for training. * Works with all teams on ensuring adoption and legal screening paperwork is copied and redacted appropriately. * Trains new clerical staff in the filling process, how to request consents, submit record requests, and close out old files. * Closing old files, storing files, and ensuring they are submitted to DCFS after storage time has expired. * Creates CYCIS and on call books for all staff. * Completes 1425Ls for the region. * Completes all employee recognition/employee morale tasks for the region. * Completes all HR tasks for the region personnel action forms, job requisitions, and new hire paperwork. * HR and IT contact for the region ensuring questions/concerns are addressed and forwarded accordingly. * Reviews resumes/applications in the HR applicant tracking system for all positions in the region. * Schedules interviews for all positions in the region. * Schedules and coordinates the regions video and phone conferences.

EDUCATION and/or EXPERIENCE:

Minimum requirements include an associate degree and two years experience in running an office.

LANGUAGE SKILLS:

Ability to read, analyze and interpret common documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the agency.

MATHEMATICAL SKILLS:

Ability to apply concepts of basic algebra.

REASONING ABILITY:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

COMPUTER SKILLS:

Strong computer proficiencies are essential; must possess strong working knowledge of Microsoft Office programs.
