Chestnut Health Systems is seeking a full-time Office Assistant for our Belleville, IL location, servicing the Metro East and St. Louis, MO areas.

Print and review daily schedules for CAMPP and MPP. Request any off-site charts necessary or pull charts on-site to assure readiness by the day of service.
Fill out the top section of the Client Billing Form (CBF) and forward to Accounts Receivable staff for completion of required information. Once completed AR will return the CBF form to be included with daily charts.
Review schedules the day prior to date of appointments to assure that charts and CBF are available for any client added to the schedule and prepare charts according to procedures. Deliver to clinical/medical staff each CAMPP and MPP day.
Complete the Cover Sheet form# Misc-1001 for each scheduled clients according to procedures. Attach to chart along with the completed CBF form for delivery to clinical/medical staff.
Review charts to assure filing of prescriber notes and other medical documentation are current.
Access Dr. First database, or current eScribe software, to assure scheduled clients have a file set-up. If not, set-up file in database to include demographic and financial information for Medicaid or Medicare as appropriate.
Assist with Financial Intakes as required including directing to AR staff; making copies of Medicaid / Medicare cards and completing Financial Intake forms for Medicaid and Medicare. Prior to the scheduled day access available databases and determine if the individual has Medicaid or Medicare. If Medicaid print verification of benefits from database to be scanned and attached, or filed, in the client record. Complete Financial Intake forms and have available for signature at the time of appointment.
Review paperwork to assure that required documents for opening have been completed and signed as required. Assist with KIOSK or provide any assistance to client in completing the Physical Health Assessment (PHA) form. When necessary, key the PHA to the database.
Be available on scheduled CAMPP and MPP days to assist staff with any special needs related to clinical or financial documentation required and to gather client information for last minute additions to the day's schedule. Time permitting assist medical staff with vitals.
Review carts returned to: organize filling, direct CBF forms to data entry with clinical note(s) attached and return files to off-site location via courier or to the on-site records department and place filing required in the appropriate file bin in Medical Records.
Upload dictated transcription according to procedures and download returned transcribed materials; save to designated Drive and print or direct dictated materials to designated staff for entry to the electronic medical record database. Place in designated bin in medical records to facilitate prescriber signature as necessary.
Participate in ongoing trainings and/or meetings to stay abreast of changing policies/procedures and any funding or licensure/certification regulations that would apply.
Review of active charts for compliance with Chestnut Health Systems Policies and Procedures and accuracy of clinical information required in meeting all applicable contract standards.
Operate a variety of office equipment including, but not limited to, scanning, copier and fax.
Maintain a well-organized and orderly work area to assist staff working all shifts.
Use a teamwork approach when working through tasks with other staff.
Promote the recovery model of treatment by showing respect and courtesy when interacting with consumers to provide a safe and welcoming environment.
Maintain and protect confidentiality and security of all organizational information gained in the course of performing job responsibilities including, but not limited to, financial and client information.
Perform other duties as assigned.
Position requires a high school diploma or G.E.D plus one (1) year experience using an electronic health record or electronic billing system.
General knowledge of standard office procedures and use of office equipment (i.e., filing, basic word processing, and ability to operate copier, fax, and scanning equipment) required.
Good interpersonal and organizational skills, attention to detail, and discretion with HIPAA and other confidential information required.
Must be able to manage several tasks at the same time and communicate clearly and professionally with a diverse group of people.
Basic keyboarding skills and experience using Microsoft products including Word, Outlook and Excel required.
Satisfactory completion of Chestnut's background checking process.
